By far the best GTD app

I’ve tried a lot of GTD apps, including Wunderlist, Things, and the wildly overpriced and pathetically underpowered Omnifocus... and none of them are remotely as flexible or efficient as 2Do. What I love most is that if I just want to quickly add a bunch of items without a lot of complexity, it lets me do that. But if I need to go into more depth, with priorities, due dates, tags, etc… I can do that too. It’s as quick and simple or as complex and in-depth as I need it to be. I cannot stress enough how useful that is.

Such potential

Finally, a GTD app that blends the best characteristics of Things and OF. The layout and implementation is really very good, like color coding, excellent grouping options, etc. However, some issues show that this app still some ways to go before it’s bulletproof for GTD. One issue: I emailed them for help last week and still haven’t heard back. Wondering if their customer service is on vacation. Major Issue: that needs immediate attention: Syncing is the biggest issue. Yes, techically syncing through Dropbox or CalDav works, but that really is an poor solution. I find that hiccups in connectivity in the network nukes my entire list and instantly transmits that to all my devices, meanting I then I have to go in and manually reset colors, groups, settings, etc… for every app! This is really tough to swallow. Please deploy a reliable sync method that is native to the app. If you *must* use Dropbox to sync, at least figure out a way to integrate with Siri so that I can create reminders on my Apple Watch AND deploy a way to ensure that minor interruptions in service do not erase the entire database. The repeat function is very weak also. Really need something that is clearer and more functional. This one gets the job done, but inelegantly, and confusingly. Some other minor issues: Colors don’t seem to stick well between devices. Also, the date picker is very fussy and needs a revamp, and it would be better to have locations and tags in one list, rathering that togging back and forth between them. Or, allow tags to have a location. Other than that, I do like the app quite a bit and am now trying it out full-time as my GTD system. I’ll let you know how it goes.

Will not first time sync with Toodledo

Purchased this to sync with my Toodledo account but discovered there is a developer-acknowledged bug that prevents the application from doing a first time sync. So it is useless to me until they fix the bug.

This One is The One

Like many peoples’ reviews on this app, I have gone through quite a few “to do” programs, but can confidently say 2Do is going to be my go-to “to do list” for a while. I used Clear for a while, as I am a HUGE fan of clean UI’s. However that one was quick to fail me when it came to creating projects and detailed tasks. It was just too simple and lacked depth that I needed. As a college student who works two jobs, manages off-campus living expenses/cleaning/groceries (that dish-filled sink though), and is very involved in a church’s college student ministry, I need a program that can juggle all these balls, all the while keeping track of different tid-bits like “things I want to buy someday" (emphasis on someday) and the everyday “random to-do’s”. ToDoist was the second program I used for a while, particularly for its cloud function. However that too eventually came to fail me with it’s lack of depth in fully customizing each task. Tasks were simply due dates. The organization of tasks was lacking heavily. Also it was as subscription that you had to re-pay every year. And now that I think of it, lack of organization is the biggest thing 2Do has over any other program I’ve used. There are different “bins” to put projects, tasks, and checklists in. Some “bins” are crazy, like stuff for church which can come out of nowhere, while other bins are consistant and scheduled like “school”. I wanted to write this review after at least 3 months of using this app. Strongly recommend getting the iPhone app too, as the sync is amazing and very convenient. Thanks 2Do for making life a bit more organized with so many things going on.

Very strong, but not quite feature-complete

I’ve spent 5+ years going back and forth trying to get myself to commit to either Omnifocus or Things, and 2Do actually stuck with me because it is so flexible with how much information you can attach to each task, and because it’s so unambiguous. Projects, checklists, lists, and groups actually MAKE SENSE to me, unlike the confusing hierarchies I find in other apps, and I don’t feel like the app is getting in the way of staying organized by trying to force a system onto me. I’ve been able to build my own system and adapt it over time, which is a relief to finally experience. The glaring weakness for me is the promise of the search/smart list system compared to its actual capability. For example, while I can create a smart list containing all tasks in lists X and Y that have tag Z, I cannot create one that contains all tasks in list Y, plus tasks in all other lists that have tags Y and Z. If I want to make a “Computer” smart list that contains my iPhone and Mac lists, as well as tasks in all lists with email and link actions, I cannot do this. Once you specify a regular list while defining a smart list, it appears you can only filter tasks within that regular lists, for no discernable reason. It could be as simple as "(List: iphone AND mac AND all(action: email, link))”, but it’s not. So the smart list system is pretty limited and messy, as is.

Perfect Balance Between Flexability & Structure

2Do combines the best of the available task management / to do systems in the marketplace. It lets you use Getting Things Done (GTD) methodology if that framework works for you, but you are not limited by the GTD constructs like in some other systems. 2Do provides you the features to design the experience the way you like: for example, I use some GTD approaches, however, I also like tags and assigning priorities to my tasks. Being able to have both start dates and due dates is a powerful feature to organize your work so you see what you need to focus on. Filtering and sorting your tasks provides almost limitless ways to view your work, and they are easy to set up. Adding “actions” to your tasks is a great way to save a url, email address, phone number, Google search, etc. to help expedite accomplishing the task. The sync process is best of class for this type of app… there are several options and you need to evaluate which will best work for you. It’s great that they are all relatively secure channels you control rather than a propietary vendor cloud service. I use the the Reminders CALDAV approach that uses Apple’s reminder service as the back-end… it’s lightening quick and lets me see my 2Do’s in my calendar (important for me), but like just everything about this app, you select how you want to work. The iPhone app is also great. The key for me with 2DO (and I have used just about everything on the market) is the balance betweek flexability and power. Omnifocus is powerful, but I always felt a little lost and frustrated as I tried to work within their rather dogmatic approach. Wunderlist and Todoist were flexible, but lacked key features for me. Things, Clear, Todo, Carrot, RTM, Trello, Toodledo, etc. just never resonated with me. One area which could be improved is attaching files to a task… currently only images are supported, but other file types (or at least PDF) would be welcome. Having used many tools, I highly recommend 2Do.

iOS+Mac= Great!… but WISH I could archive Done Tasks

I use it on iPhone, iPad and Mac… WOW! This is a great app/combination! No matter where you are, you can write what you need 2Do to remindo you of and presto! All updated! My EVERYDAY app. The one I use and rely the most! Highly recommended ! WISH LIST: SYNC- Please bring back the Sync Status Bar where we could estimate the sync process. Why did you take it out? ARCHIVE- I wish you would not have us DELETE Done Taks but instead archive them so if we needed we could go back it time and check when we marked them and get information from the notes… It seems really odd that there is no option to either Archive or Save all your DONE Tasks to a file for any future reference that might come up. I tried the ARCHIVE drop down menu but is not available on the DONE list. The ony option is to DELETE all the Done Tasks in order to speed up the Sync. It is a bit drastic for me to delete all my history in one swipe. I really wish they implement a way to save the Done Tasks soon! The rest of the app in all incarnations is Gold! My daily app to use!!! Love it! TC

Well organized app

A well organized app to help me keep track of the projects that I need to get finished at work.

Still Good but not perfect

So there is no improvement to the items I note below in the latest version. The biggest thing that keeps this from becoming a real useful program to me is the inability to pull information from Exchange into it. Our company has an automated process that puts todo items into Exchange. I cannot pull them out and put them into 2Do. My normal workflow is to look over everything on my list and then decide what gets done for that day. It is more of along the lines of pick the thing that has to get done, pick a couple of things that would be important to do, and pick a few things that it would be nice to get done/make progress on. Because of this, sorting and such are important. The program lets you sort by time and has the “smart lists” and such, which help a lot. I usually use the “starred” list for things that I’m going to do that day. You can manually drag things up and down to sort the starred items, so that works extremely well for me. There seems to be sufficient properties, tags and whatever to let me track status of in-process things, when I’m waiting for others and such. What doesn’t work so well (or at least I haven’t found out how to do) are the following: 1. I can’t manually drag the sub-tasks of a project up and down to sort them. This is a problem for me as I usually enter things as they occurr or as they come up when I use the project aspect. If you enter dates, it will sort the sub-tasks, but I haven’t figured out to sort them manually. What I want to do is have the normal sort by due date for subtasks, but for things that don’t have a date entered, drag them around manually (e.g., within the “no due date” portion of the list. I can turn the project to full manual sort, but then I have to make sure I note the due dates of the sub-tasks and I’m sure I’d miss something. 2. The biggest problem is that it is a somewhat isolated system and cannot sync tasks with very many other task systems, which I really need for maximum utility. Wish it had the ability to enter time against a project/task and print reports. You can use the notes field and such, but still, tracking time against tasks/projects would be the cat’s meow. Over all this is a great to-do manager for me.

I use 2do for everything

This app has completely taken over my task and project management. It allows me to import emails, tasks, and has quick entry. I can group them however I want, and I sync using CalDav with iCloud so I can access my tasks via icloud.com at work, and share task lists with my spouse. It is clean but flexible. The iPhone app works great. Search is fast and efficient. It has a bit of a learning curve; I had to review the keyboard commands a few times, but luckily they are east to find. Now, it is very fast and efficient, and has become the foundation for my productivity. It is worth every penny.

Great App with a lot of features

I have been using 2Do for years, and remain satisfied. I make a lot of lists, and have a lot of projects, and this is the one app I have found that has enough features that lets me organize the way I want to, without forcing me to organize in a pre-specified model. I use a lot of the features, but I also like that I don’t have to. I sometimes try other apps (just because I get curious as to what is new on the market), but I always come back to this one. It functions very well, and I use it on multiple devices without difficulty. Two suggestions that I hope might make it into future versions: 1) OmniFocus definitely has a more beautiful UI. Since this is, by far, the app I use the most, it would be nice to see an updated look. You used to be able to set your own font and background colors, but for some reason that option was removed. 2) It would be nice to be able to sort by more than one thing at a time (e.g. sort by due date, then by priority). It is possible to get around this by using the smart searches and focus button, and that way I can still get the information I want. But it would be nice to see everything sorted in one list. Thanks for such a wonderful useful app!

The people behind 2Do just won’t give attention to aesthetic. Year after year. Will they ever learn?

Powerful!

2do has replaced OmniFocus in one fell swoop. Beautiful, MUCH more powerful, and the flexibility to work the way YOU want without too much “task philosophy”. Want to use GTD? Go ahead! It’s a one click option. Want to use TRO, go for it! 2do seems to suport it all with fluid editing, tons of OS X / iOS only perks. This is a terrific task manager with tons of flexibility. Great job, developers! I especailly love that I can attach a call or a text to a task, and then tap to dial right from the task.

Email to tasks - its the best

Flag an email & it becomes a to-do. Boom.

Harmful

I switched to 2Do from Things, because it had a few nice features that Things was missing. This was a mistake. 2Do has two substantial problems that make it a harmful choice for serious use. (1) I sync 2Do with Dropbox, to keep my to-dos in sync between my home computer, my work computer, and my phone. On two occasions, after I’d been working in 2Do for a while, it spontaneously decided to sync, replacing my recent changes with an older version of my data. (2) Several times, I used the Undo command to reverse a step I’d taken. Instead of reversing that step, 2Do returned my data to a state from several minutes ago—moving tasks around, erasing new tasks I’d created, returning tasks I’d marked as done to my list. The effect of glitches like this is that I could never trust that my to-dos were correct—I had to constantly worry about the integrity of the 2Do data. This is exactly the opposite state of mind necessary for productivity. I’ve just finished copying all my to-dos back into Things, which certainly has its flaws but which always handles sync and undo flawlessly.
