The best if you’re flying solo AND have Apple products
If you’re practicing GTD and are all-Apple, this app is the absolute must-have. It stands alone. 2Do includes every single feature I was looking for (location-based reminders, repeating tasks, contextual tags, syncing across devices, clickable phone numbers, etc.), including a lot of the features which cater specifically to GTD. I bounced around from app to app for almost two years until I finally stumbled onto 2Do via an App Store review for another app and was absolutely blown away. The feature-rich settings make the app fit into your workflow, not the other way around. You can make it as simple or as complex as you would like. The location and contextual tagging feature really helps filter your To Do List down to only the tasks I can complete right now, removing a lot of the barriers to actually getting them completed.
It took a little bit of tinkering and testing to figure out how some of the features worked, especially for time-specific recurring events with alarms (my job has a lot of those tasks). Once I figured it all out, though, my work life seemed to go on autopilot. Now I’m building that same infrastructure for my personal tasks, gift ideas, grocery lists, errands, etc. 2Do IS NOT a collaboration tool for teams which allows users to assign tasks, create group projects, etc. If that’s what you’re looking for, I would look elsewhere. 2Do is, however, a fantastic tool for individuals to manage their whole lives. I haven’t yet figured out the best way to use Smart Lists, but I see enormous potential and will definitely be exploring that feature soon.
It’s worth noting that the Mac Desktop version is a separate purchase from the iOS apps (I emailed the developer for confirmation on this question). The free trial you can get from the developer’s website is a great way to try out the full functionality risk-free. I was only two days into my free trial when I went all in and bought the full versions of both apps. They were that good. Sign up for the trial, test out the full functionality, and see what features work for you. I highly recommend this app.
